Company is in search of an experienced Office Manager proficient in performing office administration, finance, Human Resources and other various office support activities. Candidate must be very organized, great multi-tasker, and excellent communicator, experienced in performing daily tasks, preparing company reports, and working with web-based applications in a fast-paced, ever-changing environment.

Job Description:
The Office Manager’s duties include fielding and screening telephone calls; preparing financial and administrative reports; making travel arrangements; word processing, filing, and faxing; utilizing strong written and verbal communication skills to keep management informed of operational activities; proficiency in Microsoft Office suites (Excel pivot tables and V-lookups are a plus), very strong QuickBooks and bookkeeping ability; some Human Resource knowledge; Internet research abilities; direct reporting to the General Manager, with CEO and CFO interaction.

Financial~
• QuickBooks – Purchase Orders, Invoicing, Bill paying, Project Cost, & Estimates
• Keep accurate QB records and files
• Produce Weekly/Monthly QB Reports
• Communication with Accountants
• Communication with Clients regarding Invoices/Aging Reports
Administration ~
• Registration/Sign-up - Independent Contractors, Vendors
• New Client Registration – Contracts, Provide Insurance Verifications, License, Pre-Screening
• Administration of all Company Insurances-Communication with Insurance Agents
• Keeping all Licenses and required DMV Registrations updated
• Client Weekly/Monthly Submittals – Drug-Screening, Safety forms
• Travel Arrangements
• SharePoint - Updates, Announcements
• Errands – Post-Office, Bank, Office Supply Stores
Human Resources ~
• Sign-up – New Employees
• Expense Reports, Time Sheets, Time-Off Requests
• Administration of Employee - Health Insurance and 401k Plan
